DocabeeVersion 1.3, 21 October 2026.
People Building Ltd operates Docabee and decides how the site uses personal information for that purpose. Practitioner pages are private. Docabee is not a place for client records.
We keep account and contact details, which programme you are on, your licence type, training and insurance certificates, dates, reminder choices, and the security records needed to run sign-in. Full DBS certificates, photographs and scans are not collected. A DBS record may include the certificate number, issue date, check type, whether you are on the Update Service, who saw the original certificate, and the next date. Do not type conviction details or other people’s private information into Docabee.
The information is used to give you access, check documents, run reminders, keep records accurate, and protect the site. The legal reason depends on the task. It may be a contract, a legitimate interest, a legal duty, or consent where consent is actually required. Agreeing to the terms is not consent for every use of your information.
Docabee may read a date from a permitted certificate that is not a DBS certificate. You can correct that date. Reading a date does not decide whether you may practise. DBS certificates are not read by the computer.
You can see your own documents. The office can see the people it administers. Hosting, email and WhatsApp providers process only what is needed to send a reminder or store a file. Documents are kept in private storage, not on a public page. An archived certificate is kept for five years. Certificates of someone who has left are kept for five years after they leave. The office is asked before a file is deleted. The retention notice says how long records are kept.
If a DBS check needs a further conversation or a risk assessment, that discussion, the assessment and the supporting papers stay in People Building Ltd’s office records. They are not stored on Docabee. Closing a Docabee account does not delete those separate office records.
You can ask for a copy of your information, a correction, deletion, a restriction, or to object, where the law gives you that right. Write to info@peoplebuilding.co.uk. You can also complain to the Information Commissioner’s Office at ico.org.uk.
