Docabee

How long records are kept

Version 1.3, 21 October 2026.

Current certificates are kept while they are needed. When you replace one, the old file moves to a private archive for the office. Archive does not mean forever. The date a certificate runs out is not the same as the date the file is deleted.

An archived certificate is kept for five years from the day it was archived. When someone leaves, their certificates are kept for five years after they leave, if that date is later. When the time is up, the office is emailed. The file stays until the office agrees to delete it.

DBS certificates, scans and photographs are not stored. Only the short DBS details described in the privacy notice are kept, for as long as that record is still justified.

You can download your own current in-date certificate. You cannot browse other people’s files. Ending your access does not erase every compliance record the office is allowed to keep. Write to info@peoplebuilding.co.uk to ask about your information or about closing access.

A DBS risk assessment, if one is needed, is kept in People Building Ltd’s office records, not in the Docabee archive. Closing Docabee access does not delete those separate papers, and it is not a reason to keep them forever.
